What is PromoMats used for?
PromoMats is now the tool used for the review, approval, management, and archiving of both promotional and non-promotional materials related to our products (medicines, medical devices, food supplements) across all Mayoly affiliates.
This centralized system ensures regulatory compliance, improves document traceability, and facilitates collaboration between global and local teams.
This new platform replaces the former system (CoManDo, on the Ipsen CHC side), with a clear objective: harmonize tools and strengthen document security, notably through a GxP-qualified infrastructure.
What types of activities are involved?
- Drafting, approval, and archiving of promotional materials (brochures, visuals, product claims, etc.)
- Review and approval of non-promotional documents (medical, regulatory, technical documents)
- Daily use by Marketing, Medical, Regulatory, and Quality teams, as well as local affiliate teams
A collective and ambitious project
This migration involved multiple teams: IT, business, quality, regulatory, and more.
Here are some key milestones:
- Clear roadmap definition (data mapping, transformation, enrichment)
- Rigorous testing campaigns to ensure reliable migration
- Full GxP qualification of the target environment
- Go-live of the tool on June 16, 2024, followed by a phased data migration from ICHC, completed on April 11, 2025, for all countries

We are now entering a stabilization phase, in collaboration with our partner Ennov, with ongoing functional and technical adjustments. Your feedback is welcome to keep improving the user experience.
